SUBJECT: Capital Asset Purchase: Bernhardt Juncture Conference Table

RECOMMENDATION

[4/5 vote required]
body
BACKGROUND
Sheriff’s Office administration conference room table is 17 years-old and has reached the end of its useful life. The table supports have been repaired several times and cannot support the weight of the table, making it unstable and unsafe to move. With the increase in administrative personnel at the Sheriff’s Office, the table is undersized and cannot accommodate more than six individuals. In addition, it lacks the functionality of modern conference tables that have integrated media wire management and device ports. The cost of the conference table is in the Sheriff’s budget. However, due to cost increases, the conference table is now a capital asset that requires a Budget Amendment to transfer appropriations to Equipment (Account 55400).
Requested Actions:
1. Authorize the purchase of a Bernhardt Juncture Conference Table to replace the current conference table that has reached the end of its useful life and establish it as a capital asset.
2. Approval of a budget amendment, increasing appropriations in the amount of $10,126 within the Sheriff’s Budget 1360000 Equipment (55400), offset by a commensurate decrease in appropriations in the same budget from Office Furniture/Fixtures (53105).
FISCAL & STRATEGIC PLAN IMPACT

Discretionary Justification: |
The administration conference room table has reached the end of its useful life. The table supports have been repaired several times and no longer properly support the weight of the table. It is unstable, cannot be moved, and presents a potential safety hazard; therefore, it should be replaced. |
|
Is the general fund affected? |
Yes |
|
Future fiscal impact: |
Any future fiscal impact will be budgeted accordingly. |
|
Consequences if not approved: |
If not approved, Sheriff’s Office will be unable to purchase the Bernhardt Juncture Conference Table according to the County’s Purchasing Policy. The continued use of the aging conference table will only increase the likelihood of its eventual support failure. |
