BACKGROUND

Innovative Interfaces Incorporated is a joint‑use agreement between Napa County Library, St. Helena Public Library, Napa Valley College, and Solano Community College for the Polaris Integrated Library System (ILS, or “library catalog”) software and hosted services. Today’s request is approval to add training services to the contract.
This training is essential to prepare staff for Polaris Leap, the modern web‑based version of our Integrated Library System (ILS). When we implemented Polaris in 2016, staff were trained on the legacy desktop client, which is no longer receiving new feature enhancements and will eventually be phased out. As Polaris Leap becomes the primary operating environment, staff need updated instruction to use its tools confidently and effectively.
Approval of Amendment No. 5 to Agreement No. 210369B with Innovative Interfaces Inc. will increase the contract by $6,200, for a new contract maximum of $1,004,962, and will add training services to the scope of work to conduct on‑site training for subscription products.
Requested Action:
Approve and authorize Amendment No. 5 to Agreement No. 210369B with Innovative Interfaces Inc. to increase contract maximum to reflect all fiscal years in the remaining contract term for the Polaris Integrated Library System (ILS - “library catalog”) software and hosted services.
